OpHalo LLC ("OpHalo," "we," "us," or "our") provides OpHalo Keep, a lightweight request-continuity workspace that helps service businesses keep customer requests visible, current, and moving.

This Privacy Policy explains how we collect, use, share, and protect information when you visit ophalo.com, contact us, start onboarding, use OpHalo Keep, or interact with a customer request page powered by OpHalo Keep.

Information We Collect

We may collect the following types of information:

Website and contact information. When you visit our website, request access, sign up, or contact us, we may collect your name, email address, business name, phone number, service category, and any message or notes you provide.

Account and business information. When a business uses OpHalo Keep, we may collect information needed to create and manage the account, such as business name, account users, email addresses, phone numbers, timezone, service category, intake link, authentication/session information, onboarding status, and product usage activity.

Customer request information. Businesses may enter customer names, phone numbers, email addresses, request details, status updates, messages, notes, and activity related to a service request. Customers may also provide information directly through a request intake page or customer request page.

Usage and technical information. We may collect device, browser, IP address, log, cookie, session, page interaction, and diagnostic information to operate, secure, improve, and understand the service.

Communications. We may process emails, service messages, notifications, support requests, and related delivery activity, including whether certain links or messages were sent or opened.

How We Use Information

We use information to:

  • provide, operate, secure, and improve OpHalo and OpHalo Keep;
  • create and manage business accounts;
  • authenticate users and maintain sessions;
  • create request pages and intake pages;
  • send service-related emails, secure links, updates, and notifications;
  • help businesses communicate with their customers about active requests;
  • provide support and respond to inquiries;
  • detect, prevent, and investigate fraud, abuse, security issues, or unauthorized access;
  • analyze product performance and improve the customer experience;
  • comply with legal obligations and enforce our terms.

How We Share Information

We do not sell personal information.

We may share information with:

Service providers. We use vendors that help us host, operate, secure, email, analyze, and support the service. These providers may process information only as needed to provide services to us.

Business account users. Customer request information may be visible to authorized users of the business account responsible for that request.

Customers and request participants. Information entered into a customer-visible request page may be visible to the customer or business involved in that request.

Legal and safety purposes. We may disclose information if required by law, legal process, or to protect the rights, safety, security, and integrity of OpHalo, our users, customers, or others.

Business transfers. If OpHalo is involved in a merger, acquisition, financing, reorganization, or sale of assets, information may be transferred as part of that transaction.

Customer Request Pages

Customers can access some request pages through secure links without creating an account. Anyone with access to a valid request link may be able to view or interact with that request page, so customers and businesses should avoid sharing request links with unauthorized people.

Businesses are responsible for the information they enter into OpHalo Keep and for how they use customer information outside OpHalo Keep.

Cookies and Analytics

We may use cookies, similar technologies, logs, and analytics tools to operate the website and service, remember sessions, improve performance, understand usage, and protect against abuse. You may control cookies through your browser settings, but some features may not work correctly without them.

Data Retention

We keep information for as long as needed to provide the service, support business accounts, comply with legal obligations, resolve disputes, enforce agreements, and maintain security. Retention periods may vary depending on the type of information and the account's status.

Security

We use reasonable administrative, technical, and organizational safeguards designed to protect information. No system is perfectly secure, and we cannot guarantee that information will never be accessed, disclosed, altered, or destroyed.

Your Choices and Rights

OpHalo does not sell personal information. If our practices change, we will update this policy and provide any required choices.

We may need to verify your identity or account relationship before responding. If your information was provided to OpHalo by a business using OpHalo Keep, we may direct you to that business or work with that business to respond.

Children's Privacy

OpHalo is not intended for children under 13, and we do not knowingly collect personal information from children under 13.

Sensitive Information

OpHalo Keep is intended for ordinary service-business communication. Please do not submit sensitive personal information unless it is necessary for the request. OpHalo Keep is not designed for emergency services, medical care, legal advice, financial advice, or other regulated professional services unless separately agreed in writing.

Changes to This Policy

We may update this Privacy Policy from time to time. The updated version will be posted with a new effective date. Your continued use of OpHalo after an update means the revised policy applies going forward.
